A Modern Intranet in the Financial Sector:

How to Organize Internal Communication and Information Sources Within an Organization

mBank - case study

About the Client

mBank, is a pioneer of innovative digital banking in Poland. As the country’s first fully online bank, it has been setting new standards for the sector for years.

With over 8,500 employees and technology at its core, the company has embraced CEO Cezary Stypułkowski’s motto: “there is no turning back from the cloud.” The mBank Group not only adopts cutting-edge tools but also creates innovation itself, building solutions such as the Paynow payment gateway or the fully cloud-based technology company mElements.

This is a client who fully understands that a modern, secure, and flexible work environment is key to success, as it directly impacts organizational efficiency and the highest quality of customer service.

Challenge

As the business grew, the existing intranet became a technological and communication bottleneck. The company faced several challenges:

  • A complex information architecture which had become increasingly difficult to manage
  • Dispersed information sources and no single place to search for them.
  • Difficulty in quickly accessing up-to-date documents, procedures, and announcements.
  • Low employee engagement in company life and internal communication.
  • Lack of tools to build community and strengthen organizational culture.
  • The need to eliminate technological risks associated with outdated On-Premise systems.

Solution

The client decided to build a new intranet based on the Microsoft 365 cloud environment. We implemented a modern intranet portal that became the digital heart of the organization. The project was not only about creating a new communication platform but about building a functional workspace.

The new intranet was designed as a central hub that integrates key information, tools, and communication in one easily accessible place.

Value

The new intranet platform was enthusiastically received by employees, who from the very first days emphasized how much this change was needed. The intranet stopped being a mere bulletin board and became a dynamic, interactive work environment that supports employees in their daily tasks. The implementation brought order to information chaos and provided employees with a reliable source of knowledge.

“We build innovative technologies for our clients, so our employees deserve the same. The new intranet gives them a modern workspace that supports focus and simplifies onboarding.” – Eliza Stasińska, Director of the Organizational Services Development Department

“I believe we now have one of the best intranets that brings together the digital work environment for employees. In a hybrid world, it’s extremely important that without leaving home, an employee can handle any internal matter remotely.” – Katarzyna Sitnicka, Senior IT Manager

“Our intranet is no longer just a place for storing documents and posting updates. It is now truly the heart of our system of all mBank applications:  internal, business, and HR.”  – Konrad Policewicz, Director of the Employee Relations and Organizational Culture Department

Conclusions

Investing in a modern intranet is a strategic decision that brings benefits far beyond technology itself. This project proved that a platform designed with user needs in mind is a powerful tool for building engagement and improving information flow within a large, dispersed organization.
