As a company operating in the financial market, PKO Leasing functions in a highly regulated environment in which many decisions and processes must comply with strict procedures and industry regulations. For this reason, the organization’s challenges went beyondstandard communication needs. The existing intranet no longer met the expectations of a modern, dynamically growing company, where not only speed but also regulatory compliance and security policies are of key importance.
PKO Leasing invests in the development of a modern work environment; therefore, the company decided to replace its intranet to ensure compatibility with the evolving workplace based on Microsoft 365 tools. The previous intranet did not allow for further development in line with company policy, and users increasingly struggled to use the tool. The main issue was finding information such as news, procedures, or product documents. In the financial sector, where instant access to reliable knowledge and current guidelines is the foundation of responsible customer service and regulatory compliance, such difficulties could significantly reduce work efficiency.
An outdated interface and limited search capabilities made it difficult to effectively manage the information lifecycle, from publication, through updates, to archiving or withdrawing content.
The platform was also not adapted to a modern, mobile way of working. The need to log in via VPN prevented access via mobile phones, limiting flexibility for employees working remotely, including those working directly with clients. This made it harder to quickly accessup-to-date product documents, instructions, or regulations necessary for proper performance of duties in the financial sector. Ensuring employees easy, secure, and intuitive access to product knowledge and procedures therefore became one of the key priorities.
The IT-Dev team, in close cooperation with PKO Leasing, designed and implemented a new intranet platform that addressed the identified challenges. Built on modern and scalable technology, the result was an intuitive and fully responsive digital workplace.
The project included not only the technical implementation, but also a series of workshops with key stakeholders. This made it possible to precisely define the information architecture, design the most important functionalities, and tailor the tool to real employee needs. The main goal was to create a single, consistent, and trustworthy source of information for the entire PKO Leasing Group, accessible from any device.

The new platform was built using modern, scalable technologies, ensuring full responsiveness and intuitive use, regardless of the device. To eliminate content fragmentation and outdated information, a central document repository was implemented with advancedcategorization, tagging, and access control mechanisms. This minimizes the risk of procedural breaches and facilitates monitoring compliance with industry regulations.
The platform design also included a series of workshops with key stakeholders, ensuring that the information architecture and functionalities were precisely tailored to real employee needs. Special emphasis was placed on improving the search for documents, procedures, and regulations, as well as on providing secure and easy access to product knowledge, both in the office and during remote or field work, without the need to log in via VPN.
As a result, PKO Leasing gained a modern, consistent, and reliable tool that supports not only communication, but also regulatory compliance and security policies, providing employees with fast access to up-to-date, verified information necessary for effective and responsible work in the financial sector.
Moreover, the platform is ready for further development based on Microsoft 365 solutions, enabling the creation of a fully digital, modern work environment that meets organizational expectations and supports employees in their daily tasks.
The introduction of a solution for reporting incidents and sharing knowledge has brought Skanska a number of benefits.
The solution has significantly improved the working experience of front-line employees by making it easier for them to collect incident data. The reporting process has been simplified and article creation has been automated, reducing the time and effort required from area managers, who now only need to review and approve articles.
The company has also managed to build a fully functional knowledge base that facilitates the sharing of best practices, contributing to the safety and well-being of employees.
Inspired by the success of the original project, Skanska has extended similar solutions to other areas, such as best practices on construction sites and in the legal department. This demonstrates the scalability and flexibility of the solution.
