MediaMarkt Poland is one of the leaders in the consumer electronics market in Poland. Its extensive sales network, thousands of employees, and the enormous number of IT devices in constant circulation define the scale of the organization’s operations. Maintaining its position as a leader requires not only an excellent commercial offer but also a technological backbone of the highest level.

Challenge: Scale of Operations vs. Process Optimization

MediaMarkt Poland manages thousands of assets — from computers and smartphones to advanced network infrastructure. With the company’s dynamic growth, the previously used systems no longer sufficed to meet its ambitious operational goals.

The company’s most critical challenge became the need for greater flexibility and data centralization. The fragmented architecture of the existing tools made inventory processes and information flow between the IT and accounting departments extremely time-consuming. An organization of this scale required a solution that would not only streamline processes and shorten ticket handling times (SLA) but also provide full transparency of data in real time.

The goal was to create a modern, integrated environment — a “Single Source of Truth” — that would eliminate the need for manual data processing and become the foundation for further digitalization of back-office processes.

Solution

In cooperation with the MediaMarkt Poland team, IT-Dev specialists designed and implemented a tailor-made Asset Management application ecosystem based entirely on Microsoft Power Platform technology.
This solution replaced the rigid frameworks of the previous tools with a flexible low-code architecture that seamlessly integrates logistical, financial, and HR processes.

The heart of the system is the Virtual Warehouse – a central module that collects real-time data on the entire lifecycle of every device in the company.

The system has been divided into three main areas:

  1. IT and Administration Zone. This is the central hub for managing the full lifecycle of hardware — from receipt into the warehouse, through allocation, to disposal. Advanced reporting views enable instant verification of assets by type, status, and location.
  2. Finance Zone. This module supports the accounting department by automating depreciation processes and precisely assigning costs to the appropriate Cost Centers (MPK). It ensures full consistency between operational and financial data.
  3. Employee Zone. This is an intuitive self-service interface that allows employees to independently submit requests for equipment or report returns, eliminating time-consuming email correspondence.

An essential part of the transformation was the complete digitization of documentation. Thanks to Power Automate, the system automatically generates, distributes, and archives equipment handover protocols, thereby completely eliminating paper-based processes.

Business Value and Benefits

  • Full control and data centralization. The Virtual Warehouse provides management with an immediate, real-time view of the company’s asset inventory and the complete history of every device. It eliminates the previous fragmentation of information.
  • Operational excellence. Automation of repetitive tasks (such as document generation and warranty notifications) has significantly relieved the workload of the IT and administration teams. This has allowed the teams to focus on strategic initiatives finally.
  • Financial consistency. Tight integration between operational and accounting data ensures that the actual status of equipment is fully reflected in the fixed assets register.
  • Cost efficiency. Leveraging the existing Microsoft 365 environment instead of maintaining external systems has enabled IT budget optimization and better license utilization.

Vision for Development and Innovation

The implementation of the Assets Management system has built a solid data foundation, which MediaMarkt Poland plans to leverage for further innovations in the area of Business Intelligence and AI.

The next step is to develop the analytical layer. Management dashboards will enable:

Artificial Intelligence in the Service of Efficiency

The organization also plans to implement an AI Agent (e.g. based on Copilot Studio), which will revolutionize interaction with the system. Thanks to this, MediaMarkt Poland will gain solutions such as:

  • Intelligent Assistant – a chatbot supporting employees in service processes (e.g. “How do I exchange equipment?”), guiding the user step-by-step through procedures.
  • Automation of data entry (OCR) – intelligent scanning of delivery documents that automatically processes equipment acceptance into the system.
  • Predictive Analytics – AI algorithms monitoring stock levels and suggesting actions in advance (e.g. ordering equipment in connection with planned recruitment or recommending replacement of devices with high failure rates).
